Privacy Policy — Bring It In

Bring It In ("Bring It In," "we," "our," or "us") provides a mobile and web application for sports team management, including roster management, event scheduling, and team communication (collectively, the "Services"). This Privacy Policy describes how we collect, use, and protect personal information in connection with the Services.

1. Who Uses Bring It In

Our Services are organized around the following user types:

Coach / Team Admin — A registered user who creates and manages a team, enters roster information, schedules events, and communicates with team members.
Parent / Guardian — A user invited by a Coach who creates their own account to RSVP for their players, view the team's schedule, and take part in team chat. Parents can maintain profile details for the players in their care.
Team Member — A player or associated contact on a team's roster. A Team Member's information may be entered by a Coach, or maintained by a Parent who has been invited to the team.

A team's roster is first created by a Coach. Coaches may then invite parents and guardians by email; accepting an invitation creates an account for that person, linked only to the team they were invited to.

2. Information We Collect

Information You Provide: When a Coach creates an account and manages their team — or when a Parent accepts an invitation and manages their own players — we collect: account information (name, email address, and password), team information (team name, sport type, and related settings), roster information (names, contact information, and other details about Team Members, including players who may be minors), event information (schedules, locations, arrival times, and attendance records), game information (scores, and goal or assist credit attributed to players), and communications (messages sent through the in-app team chat).

Photos and Files You Share: Team chat allows you to attach photos and files to messages. When you do, the file is uploaded to our cloud storage provider and is accessible to members of that team. Photos may include images of minors. On mobile, attaching a photo requires your permission to access your device's photo library or camera; we access only the specific items you choose, and we do not scan or browse your library. You can revoke this permission at any time in your device settings, and photos you send can be deleted by deleting the message.

Calendar Sync: If you turn on calendar sync, the app asks your permission to access your device's calendar so it can add and update your team's events there. Sync runs on your device. We do not read, collect, or store the other contents of your calendar. On our servers we store only the information needed to keep the sync accurate: which of our events have been written to which device, an identifier for each calendar entry we created, and when it was last updated. Turning sync off in the app stops it, and revoking calendar permission in your device settings prevents any further access.

Information Collected Automatically: When you use the Services, we may automatically collect device information (device type, operating system, and unique device identifiers), usage data (app interactions, feature usage, and session information), and push notification tokens to deliver alerts to your device. We do not use cookies for advertising or behavioral tracking.

Weather Information: To show a forecast for an event, the app sends that event's location name and date to a third-party weather service. It does not send your device's precise location, and we do not track your location.

3. Children's Information

Our Services are intended to be managed by adults. Coaches may enter roster information about players who are minors under the age of 18. We do not knowingly collect personal information directly from minors — minor-related data is entered by a Coach or by a parent or guardian on behalf of the player. Coaches are responsible for ensuring they have appropriate authorization (such as parental consent where required) before entering personal information about minors.

Photos shared in team chat may show minors. Anyone posting a photo is responsible for having permission to share it with the team, and Coaches are responsible for the content posted in their team's chat. Photos are visible only to members of that team and are never used for advertising, facial recognition, or any form of profiling.

4. How We Use Information

We use the information we collect to: create and maintain your account; provide team management, scheduling, and communication features; send push notifications and transactional emails related to your team and events; improve, maintain, and secure the Services; respond to support requests and inquiries; and comply with applicable legal obligations.

We do not use your information for advertising, and we do not sell or share your personal information with third parties for their own marketing purposes.

5. How We Share Information

We do not sell personal information. We may share information only in the following limited circumstances:

Service Providers: We use third-party providers for authentication, email delivery, push notifications, cloud hosting, file storage, and weather forecasts. These providers access information only as necessary and are bound by appropriate confidentiality obligations.
Within Your Team: Information entered by a Coach is accessible to members of that team. Teams are isolated from one another.
Legal Requirements: We may disclose information if required by law or to protect the rights, property, or safety of Bring It In, our users, or the public.
Business Transfers: If Bring It In is acquired or merges with another entity, personal information may be transferred as part of that transaction.

6. Data Security

We implement industry-standard security measures including encrypted data transmission and access controls that isolate team data between tenants. No method of transmission or storage is 100% secure. We encourage Coaches to use strong passwords and contact us immediately if they suspect unauthorized access.

7. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Services. If you request deletion of your account, we will delete or anonymize your personal information within a reasonable time, except where retention is required by law. Coaches may delete team members and event data from within the app at any time.

8. Your Privacy Choices

Account information: Coaches can update account information within the app or by contacting us.
Roster and team data: Coaches can add, update, or remove team member information directly within the app.
Push notifications: You can disable push notifications at any time through your device settings.
Photos and calendar access: You can revoke the app's access to your photo library, camera, or calendar at any time through your device settings. Calendar sync can also be turned off from within the app.
Shared photos: Deleting a chat message removes the photo or file attached to it.
Account deletion: You may request deletion of your account and associated data by contacting us at privacy@bringitin.app.

9. Third-Party Services

The Services rely on third-party providers for authentication, email delivery, push notifications, cloud hosting, and file storage. These providers process data on our behalf and are required to handle it in accordance with applicable privacy standards. The app also requests weather forecasts from a third-party weather service using an event's location name and date, as described in Section 2.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the Last Updated date. For material changes, we will notify users via email or through a notice in the app.
